ONE-CLICK ONLINE REPORT REVIEW:
From any menu, you can view your last accounting report request with one click. Toggle between top and bottom to find out the bottom line with a second click, great for purposes of accounting data review. Delete or release for printing all reports in the group with a third click.
ON-LINE ENTRY WITH REVIEW PRIOR TO POSTING:
Financial Portrait provides current views of all data, including accounting transactions pending by other users. The posting process, which flags the transactions as permanent, is indicated in a process separate from the entry process. Some installations with sophisticated expense breakdowns delay posting until the end of the month. All of these facets result in cleaner transaction sets by the time of posting, and less adjusting entries later.
USER TUTORIALS:
Provided to assist new users in understanding the system, the tutorials are self-paced, step-by-step full color learning documents that are printed with right-sized pictures of forms and descriptive text to lead the new users through their first experience with FPS.
CONCURRENTLY OPEN ACCOUNTING PERIODS:
Up to 17 accounting periods can be open for transaction posting. This enables the prior year to remain open for year end audit adjustments in General Ledger while daily operations in Accounts Payable and Accounts Receivable remain current. Similarly, there is no midnight cut-offs for closes in Financial Portrait. Posting within closed periods of the current year can be enabled by the application manager and can be limited to certain types of transactions.
CONTEXT SENSITIVE USER ERROR MESSAGE DIAGNOSTICS:
In addition to the standard error message text that appears when an error is detected during an online session, more extensive diagnostic information is available at the next level of detail. This information is context sensitive and is directly related to the error message condition. Often times the user is given additional reasons for the error and/or other options for correction based on specific situations.
TRANSACTION TYPES DEFINED BY APPLICATION SUPERVISOR:
The manager or supervisor can define industry and/or company specific transaction codes using familiar terminology. One benefit is that transaction lists are easier to comprehend. Another benefit is consistency, as the transaction code processing rules are incorporated into all applications and functions of the software. Sometimes the benefit of simplification is also realized, such as when data entry requirements are reduced.
USER REFERENCE MANUALS
We provide a complete and comprehensive user-oriented reference manual for each application. All forms within the product are included in the documentation along with detailed explanatory text for each form. In addition, a major focus of the manual is how to use the application systems to satisfy your company's unique business requirements.
MENU AND SESSION TAILORING:
The security officer or application manager can set up and tailor the menus. Each user code is assigned an initial menu and company. Menu hierarchies can be created specifically for departments or individuals. Executive inquiry menus can contain options from several different applications.
CUSTOMER SUPPORT:
Immediate answers to customer questions are available via phone by trained representatives. These representatives are familiar with the overall business requirements of the applications as well as the technical details of the software.
PRELIMINARY ACCOUNTING PERIOD CLOSES:
Users can simulate the period close in order to perform preliminary review of period and year-end results.
FLEXIBLE SECURITY OPTIONS:
The ability to run the software functions is controlled by a security module. Financial Portrait User IDs are setup and given access rights to menu options in several ways. Permissions can be granted by application, individual function, and/or processing mode. This internal security system is in addition to the i5/OS server operating system security, which prevents unauthorized users and groups from viewing even the existence of secured portions.
